Maintenance and Aftercare Manager

Full Time, Onsite & Office Based

The Maintenance and Aftercare Manager is responsible for overseeing the upkeep, repair, and overall management of a property’s physical infrastructure. This role ensures that the property remains in optimal condition and that any issues are promptly addressed, fostering a safe, functional, and appealing environment for homeowners. The position involves supervising a maintenance team, coordinating with contractors, and communicating with property owners or residents. This role requires a combination of technical knowledge, project management skills, and excellent communication abilities. The Maintenance and Aftercare Manager will be pivotal in providing an aftercare service for our clients.

KEY RESPONSIBILITIES:

Maintenance Management:
Develop and implement comprehensive maintenance plans for completed projects.
Schedule, and supervise maintenance activities, including preventive maintenance and emergency repairs, to ensure the property’s infrastructure remains in excellent condition.
Inspect properties regularly to identify issues related to electrical, plumbing, HVAC, and structural integrity.
Collaborate with project teams to gather information on construction materials, systems, and equipment for effective maintenance planning.
Conduct regular inspections of completed projects to identify any potential maintenance issues.
Ensure that construction projects meet quality standards and are built to last.
Ensure that all maintenance activities comply with relevant regulations and safety standards.
Stay informed about changes in construction and maintenance regulations.

Aftercare Services:
Manage post-construction or post-renovation services, addressing any defects or issues reported by tenants or owners during past defect periods.
Conduct final inspections of completed properties and O&M folders and documents.
Respond promptly to client concerns and issues post defect liability period.
Coordinate with relevant teams to implement corrective measures and ensure timely issue resolution.

Team Management:
Lead and supervise a team of maintenance technicians and contractors, ensuring they follow safety regulations and quality standards.
Conduct performance reviews, provide training, and motivate the maintenance team to deliver high-quality services.
Coordinate with third-party vendors and contractors, negotiating contracts and managing service level agreements (SLAs).
Collaborate with construction teams, architects, engineers, and subcontractors to address post defect issues.
Provide training to maintenance and aftercare personnel on best practices.

Customer Service & Communication:
Act as the main point of contact for clients post contractual defect period.
Establish and maintain strong relationships with clients to understand their needs and address any concerns.
Respond promptly to inquiries and complaints, ensuring quick resolution of issues to maintain high levels of tenant satisfaction.
Provide regular updates to property management or ownership regarding the status of maintenance projects and aftercare activities.

Budgeting & Reporting:
Serve as the main point of contact for tenants and property owners regarding maintenance requests and aftercare concerns.
Respond promptly to inquiries and complaints, ensuring quick resolution of issues to maintain high levels of tenant satisfaction.
Develop and manage budgets for maintenance and aftercare services.
Work to optimise costs while ensuring the quality and longevity of maintenance agreement plans.

Documentation:
Provide guidance on maintenance requirements during the construction phase and assist with compiling O&M manuals.
Maintain accurate records of maintenance activities, inspections, and issue resolutions.
Prepare detailed reports for clients and internal stakeholders on the status of maintenance activities.

SKILLS & EXPERIENCE:

Experience:
Minimum of 3 years of experience in construction management or a related role, with a proven track record of managing construction projects successfully.
Strong understanding of construction materials, systems and equipment.
Proven experience in construction project management and maintenance.
Familiarity with relevant construction and maintenance software.

Skills:
Excellent leadership and team management skills.
Effective communication and interpersonal skills with ability to negotiate and influence.
Knowledge of health and safety regulations and best practices
Strong problem solving and decision-making skills.
Competent in using IT (Microsoft Office products & Email).
Attention to detail, commitment to quality and client focused mindset.
Time management and organisational skills.
Passionate about customer service.

Qualifications:
NVQ in Construction Management or similar.
Relevant certifications (e.g., HVAC, plumbing, or building management) are a plus.
1st Aid Certification.
Driving License.

Working Conditions:
The role is office and site based.

Ability to work flexible hours, including some evenings or weekends, depending on property needs or emergencies.

Travel to different project sites will be necessary with client facing meetings.
